Last updated: 2 September 2026

1. Who we are

This Privacy Policy applies to Oz Trading Group Pty Ltd (ABN 82 158 981 787, ACN 158 981 787) (we, us, our), an Australian private company registered in Victoria, and to the website at oztradinggroup.com.au.

We are committed to protecting your privacy and to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What personal information we collect

We collect only the personal information reasonably necessary for our business functions. Depending on your dealings with us, this may include:

  • Contact details — name, business name, email address, phone number and postal address.
  • Engagement information — information about your business that you provide so we can scope, quote and deliver services.
  • Billing information — billing name and address, ABN, and records of invoices issued and payments received. We do not store full payment card details.
  • Correspondence — emails, messages and notes of meetings and calls relating to an engagement.
  • Technical information — when you visit our website, our hosting and security provider may log your IP address, browser type, device type, referring page and pages visited.

3. How we collect personal information

We collect personal information directly from you wherever practicable — when you contact us by email or phone, when you engage us for services, and during the course of delivering those services. We may also collect information from publicly available sources such as the Australian Business Register, and from third parties you have authorised to provide it to us.

4. Why we collect, hold and use personal information

We use personal information to:

  • respond to enquiries and provide quotes and proposals;
  • deliver the services you have engaged us to provide;
  • issue invoices and manage payments;
  • maintain business, financial and taxation records as required by law;
  • communicate with you about an existing engagement; and
  • meet our legal and regulatory obligations.

We do not sell personal information. We do not use personal information for marketing to you without your consent, and any marketing communication we send will include a means of opting out.

5. Disclosure of personal information

We may disclose personal information to:

  • service providers who support our business, such as our accountant, email and document hosting providers, website hosting and security providers, and payment or banking providers;
  • professional advisers, including lawyers and auditors, where necessary;
  • third parties where you have consented to the disclosure; and
  • government agencies, regulators or law enforcement, where required or authorised by law.

We require our service providers to handle personal information consistently with this policy and with the Privacy Act.

6. Overseas disclosure

Some of the technology providers we use to run our business — including email, document storage, website hosting and content delivery — store or process data on servers located outside Australia, including in the United States and the European Union. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure that recipient handles it in a manner consistent with the Australian Privacy Principles.

7. Security of personal information

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls on our systems, use of reputable providers, encryption of data in transit, and restricting access to information to those who need it to perform their role.

No method of transmission or storage is completely secure. If we become aware of a data breach that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act.

8. Retention and destruction

We retain personal information only for as long as it is needed for the purposes set out in this policy, or for as long as we are required to retain it by law. Australian taxation and corporations law generally requires business records to be kept for at least seven years. When information is no longer required, we take reasonable steps to destroy it or de-identify it.

9. Cookies and website analytics

Our website may use cookies and similar technologies to operate correctly and to understand how visitors use the site in aggregate. You can configure your browser to refuse cookies or to alert you when cookies are being sent. Refusing cookies may affect how parts of the site function.

10. Accessing and correcting your information

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Requests should be sent to the contact details in section 12.

We will respond to a request within a reasonable period, generally within 30 days. We may need to verify your identity before providing access. If we refuse a request, we will tell you why in writing and explain how you can complain about that decision.

11. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us using the details in section 12. Set out the nature of your complaint and how you would like it resolved.

We will acknowledge your complaint promptly, investigate it, and provide a written response, ordinarily within 30 days.

If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au, by phone on 1300 363 992, or by writing to GPO Box 5288, Sydney NSW 2001.
